About WickedFile

Every invoice. Every part. Every dollar.

We're helping auto repair shops account for every invoice, every part, and every dollar spent.

WickedFile is an AI-powered accounts payable (AP) automation and reconciliation platform built specifically for independent auto repair shops. We help repair businesses reconcile invoices, repair orders, vendor statements, credits, bank transactions, and accounting data, so back-office teams can find missing invoices, recover missed credits, reduce month-end work, and gain confidence before paying vendors.

But WickedFile didn't start as a software idea.

It started with theft.

Built from a $180,000 lesson

Most software companies begin with an idea. WickedFile began with a painful reality.

Bob Saladna, co-founder of WickedFile, owned and operated successful auto repair shops. Like many shop owners, he trusted the systems and people around him. Sales looked healthy, the shop was busy, and nothing appeared obviously wrong.

Until it was.

A service advisor and technician had been working together to steal parts over an extended period of time. Parts were ordered from legitimate vendors, but many never made it onto repair orders or into inventory as they should have. Because invoices, vendor statements, repair orders, and accounting records all existed in separate systems, there was no simple way to identify what was happening.

By the time everything was uncovered, approximately $180,000 had been stolen.

The loss wasn't caused by a lack of accounting software. It was caused by a lack of visibility.

The problem was bigger than one shop

After investigating what happened, Bob realized something surprising: the same blind spots existed at thousands of repair shops. Most businesses couldn't confidently answer questions like:

  • Did we receive every vendor invoice?
  • Was every purchased part sold, inventoried, or properly returned?
  • Did every returned part actually receive a vendor credit?
  • Are vendor statements missing invoices or credits?
  • Are we paying for everything we should, and only what we should?
  • Where is money leaking through process failures, mistakes, or fraud?

Traditional accounting software records transactions. Shop management systems manage repair orders. Neither was designed to continuously reconcile the two.

Why we built WickedFile

WickedFile was built specifically for the automotive repair industry to solve the missing layer between shop operations and accounting. Instead of waiting until the end of the month to reconcile stacks of statements, WickedFile helps shops work invoices throughout the month while automatically reconciling:

  • Parts invoices
  • Credit memos
  • Vendor statements
  • Repair orders
  • Bank and credit card transactions
  • QuickBooks accounting data

The result is faster month-end closes, fewer missing invoices, fewer missed credits, reduced manual data entry, and greater confidence that every dollar spent can be accounted for.

Built specifically for auto repair shops

Unlike generic AP automation software, WickedFile was designed around how independent repair shops actually purchase parts. Our platform understands the relationship between:

  • Repair orders (ROs)
  • Purchase orders (POs)
  • Parts invoices
  • Vendor credits
  • Inventory purchases
  • Shop supplies
  • Accounting systems

That lets WickedFile flag the exceptions that traditional accounting software often misses.

Our mission

We believe every repair shop should know exactly where its money goes, not just at month-end, but every day.

Our mission is simple: help every shop account for every invoice, every part, and every dollar spent.

WickedFile is led day to day by co-founder and CEO Alex Saladna, who grew up in and around the family auto repair business.

Stop guessing at parts margin.

WickedFile reconciles every parts invoice against your repair orders — so the matrix you set is the matrix that runs.
